1. General

De Pelsemaeker BV, with its registered office at Moleneinde 4, 9042 Ghent, Belgium, and registered in the Crossroads Bank for Enterprises under number 0894.097.894 (hereinafter referred to as “De Pelsemaeker”), is responsible for the processing of your personal data as described in this Privacy Policy.

De Pelsemaeker takes the protection of your personal data seriously and implements appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure, and unlawful modification. Within our organisation, access to personal data is restricted to authorised individuals who require it for the performance of their duties.

Your personal data are processed in accordance with applicable laws, including the provisions on direct marketing in Book XII of the Belgian Code of Economic Law, and with Regulation (EU) 2016/679 of 27 April 2016 — the General Data Protection Regulation (GDPR).

3. Which personal data are processed, for what purposes, and on what legal basis?

In addition to any personal data you may provide during phone contact or while using De Pelsemaeker’s website, we collect and process data within the scope of our services from the following categories of individuals:

  • (Potential) clients and their employees
  • Individuals who provide their contact details (e.g. business cards)
  • Job applicants
  • Service providers of De Pelsemaeker
  • Third parties where necessary to carry out assignments entrusted to De Pelsemaeker by its clients

For client management:

  • Identification details
  • Financial information
  • Consumption preferences
  • Health data
  • Any additional personal information actively shared, for example via correspondence, phone calls, or in relation to requested services

For supplier management:

  • Identification details
  • Financial information
  • Personal characteristics (age, gender, marital status, etc.)
  • Professional details (education and occupation)

For recruitment:

  • Identification details
  • Personal characteristics
  • Professional details (education and occupation)
  • Photographic material

 

4. How long do we retain your data?

De Pelsemaeker retains your personal data only for as long as necessary to achieve the purposes for which they were collected:

  • Client and supplier management (contract execution): up to 3 months after termination of the agreement
  • Job applicants: up to 1 year after receipt of the data if no collaboration is established

 

5. To whom may your personal data be disclosed?

Your personal or business data may be shared with:

  • Affiliated companies
  • Service providers acting as processors (e.g. IT providers, PR or marketing agencies)
  • Professional advisers such as lawyers and accountants
  • Third parties involved in service delivery, such as subcontractors or transport partners

All processors act under contract and are required to implement appropriate safeguards to protect your personal data.

De Pelsemaeker may also disclose your information where required by law, by a police or judicial request, or with your explicit consent. Your personal data will never be sold, rented, distributed, or otherwise made available for commercial purposes.

For events organised by or in cooperation with external partners, your personal data (such as name and surname) may be shared purely for organisational and security reasons.

 

6. Your rights regarding your personal data

You have the right to access, obtain a copy of, correct, or delete your personal data. You may also withdraw your consent or object to the processing of your data by De Pelsemaeker (for example, for marketing purposes). Furthermore, you have the right to data portability.

Requests to access, correct, delete, transfer, or object to the processing of your data can be sent via email to info@hofterdonk.be or by registered mail to our postal address.

De Pelsemaeker will respond to your request as promptly as possible, and no later than within thirty (30) days.

Please note that De Pelsemaeker may not always be legally required to fulfil your request in full, depending on applicable obligations.

You also have the right to lodge a complaint with the Belgian Data Protection Authority (GBA). However, we encourage you to contact us first to allow us to resolve any issues swiftly.

 

7. Changes to this Privacy Policy

De Pelsemaeker reserves the right to amend this Privacy Policy at any time. The most recent version will always be available on our website. Should significant changes occur, you will be informed via the website, by email, or by post.
